Position Overview

We are looking for a dynamic and organized Volunteer Coordinator to join our team for the 2026 RC Show. This role offers hands-on experience in event management, volunteer coordination, and building connections with Ontario post-secondary institutions.

The Volunteer Coordinator will recruit, train, and manage volunteers, and support the expansion of the volunteer program for 2026. The role is in-office 3 days a week (Tuesday–Thursday) with additional hours as needed. Full availability March 6–10, 2026 at The International Centre is required for volunteer training and event days. The role reports to the Event Registration & Programming Coordinator.


Key Responsibilities

Volunteer Recruitment
• Visit campuses to promote the volunteer program to students
• Leverage connections with post-secondary institutions to encourage participation

Program Expansion

• Conduct outreach to new programs and institutions to grow the volunteer program

Volunteer Management

• Coordinate schedules and assignments to ensure event areas are staffed
• Maintain accurate volunteer records and serve as primary contact for inquiries
• Ensure all waivers and emergency contacts are collected

Training and Orientation

• Host training sessions and provide materials for volunteer scheduling software
• Schedule specialty training with internal and external team members
• Provide orientation materials and event overview to volunteers

Event Support

• Assist with on-site coordination, ensuring volunteers perform duties effectively
• Troubleshoot issues and provide support as needed

Post-Event Activities

• Collect volunteer feedback and provide recommendations
• Recognize and thank volunteers, including providing participation certificates


Qualifications

• Post-secondary graduate, preferably in Event Management, Hospitality, PR, Communications, or related field
• Excellent organizational and time management skills
• Strong interpersonal and communication abilities
• Able to work independently and in a team
• Proficient in Microsoft Office (Word, Excel, PowerPoint)
• Experience in volunteer management or event coordination is an asset
• Must be available in-person March 6–10, 2026
